Summary:
The Programs Specialist provides administrative and operational support for The Market, Clothing Closet, mobile deliveries, seasonal and holiday programs, and warehouse. This role is a forward-facing position, engages with clients, and leads a robust team of volunteer daily. Strong written communication skills, interpersonal communications along with great attention to detail are necessary in this role. Bilingual is a plus.
Responsibilities include but are not limited to:
- Represent Bluffton Self Help in The Market by knowing and believing in the mission.
- Maintain a current understanding of all BSH programs and services to be able to professionally speak to neighbors, volunteers, and donors.
- Collaborate with the Volunteer Manager to complete the onboarding process for all of The Market volunteers.
- Determine, set and coordinate a schedule for The Market volunteers based on current organizational needs and regularly communicate to the Volunteer Manager upcoming shift openings.
- Lead The Market volunteers to ensure all standards of operations are met by coaching volunteers and developing tools to help with training.
- Construct agendas for all shift “huddles” to keep volunteers updated.
- Collaborate with marketing to create signage and fliers for The Market programs.
- Maintain stock of all needed printed materials throughout The Market including but not limited to upcoming event flyers, most needed items lists, various process logs and forms and volunteer training materials.
- Support the Program Manager with administrative tasks and maintain an in-depth understanding of program operations to complete daily, weekly and monthly reporting.
- Be adept at data tracking and reporting to allow us to ensure that operations in The Market are effective, efficient, and barrier-free.
- Act as The Market Leader in the Program Manager’s absence.

Skills and Qualifications
- Interest in and commitment to Bluffton Self Help’s mission.
- Minimum two years related experience; food service/hospitality/customer service experience a plus.
- Proficiency with spreadsheets, databases, and word processing.
- Ability to operate and troubleshoot standard office equipment.
- Ability to multi-task and prioritize in a dynamic work environment.
- Strong ability to work both as a team member and work independently to meet deadlines.
- Solid written and oral communication skills and excellent phone manners.
- Excellent time management skills, aptitude for proper task prioritization, and a results-oriented work process.
- Candidate must be able to take initiative and have a sense of urgency to accomplish tasks.
- Have strong interpersonal skills to work with a dynamic group ranging from staff, volunteers, clients, donors, and board members.
- Ability to handle sensitive matters with tact and discretion.
- Professional demeanor, integrity, tact, and good judgement.
- Dependable and punctual with great work ethic.
- Candidate must be willing to drive the Bluffton Self Help van when directed. No CDL required.
Required Education and Experience
- Associate’s or Bachelor’s Degree preferred.
- High school diploma or equivalent plus two to three years’ previous related experience.
- Spanish speaking is a PLUS but not required.
Supervisory Responsibility
This position has no supervisory responsibilities for paid employees.
Work Environment
This job operates partially in a clerical, office setting and routinely uses standard office equipment such as computers, internet, phones, photocopiers, filing cabinets and fax machines. This job also operates partially in a warehouse, retail, and outdoor setting.
Physical Demands
While much of this job is spent at the desk in front of a computer, this position also requires physical demands when working in The Market, Warehouse and with Special Programs. The candidate must be able to stand for extended periods of time, bend, reach and be able to lift at least 40 pounds.
Position Type and Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:30
a.m. to 4:30 p.m. The employee in this role will work Mondays and/or Wednesdays until 6pm. These are general hours and can vary weekly depending on schedules, meetings, and occasional weekend events. This role has occasional night and weekend hours.
