The Food/Clothing and Special Programs Manager is responsible for the daily operation of the food pantry and clothing closet Bluffton Self Help. The position ensures safety and operational compliance for our Wellness Food Pantry, Confidence Clothing Closet and other Special Programs such as our Holiday Toy Shop, Fresh Express, Teachers Supply Closet and Snack Program. The Program Manager ensures operational effectiveness while coordinating with community volunteers for successful client services. Reporting to the Executive Director, this position’s primary responsibility is ensuring organizational effectiveness by providing leadership for the organization’s operational functions.
Job duties include but are not limited to the following as well as other duties as may be assigned by the supervisor or Executive Director as needed to meet the needs of the organization.
Wellness Food Pantry
- Plan, direct and coordinate the operations of the food distribution and inventory control according to BSH policy
- Maintain system procedures for operating efficiency
- Monitor out-of-date and out-of-season food
- Systemize the display of goods
- Ensure all data for Food Bank and Second Helpings reports are available while completing all reports
- Lead the acquisition of food through food drives and Food Bank
o Monitor most needed food for distribution and notify ED - Within budget purchase food, dairy and produce as needed for distribution
- Ensure engagement of volunteers to meet the needs of the Food Pantry
- Ensure proper waste and overflow distribution to area farmer and other area agencies
- Manage safety program and implement safety training as needed to ensure safe work environment
- Monitor OSHA requirements including completion of necessary documents and reports
- Manage Food Bank policies and procedures
- Lead and coordinate additional Easter, Thanksgiving and Christmas food distributions
- Lead the food handling training
- Coordinate Postal Food Drive with area neighborhoods, the post office, annex and volunteers
Confidence Clothing Closet
- Plan, direct and coordinate the operations of the clothing distribution and inventory control according to BSH policy
- Maintain system procedures for operating efficiency
- Monitor out-of-date and out-of-season food
- Change client allocation as needed depending on incoming clothes
- Coordinate recycling program with MAC recycling to ensure proper pick up and payment of recycled clothes
- Oversee distribution of donated houseware items to other area agencies as a point of contact
Holiday Toy Shop
- Lead community Toy Shop with acquisition of toys, operations control, volunteer coordinator and client sign up
- Ensure proper training of staff and volunteers to ensure efficient distribution
- Coordinate Holiday Hope in coordination of WSAV including box distribution and pick ups
- Track all toy boy distribution sites and ensure proper communication, drop off and pickups with site and volunteers
Additional Programs
- Ensure proper inventory and distribution of all diaper products
- Coordinate collection and distribution of Teacher School supplies to 10 area Bluffton Schools
- Coordinate collection and distribution of School Snack Programs to area school
- Keep current volunteers motivated and engaged
- Provide ongoing support and guidance for volunteers
- Participate in volunteer recognition program
- Ensure client reverification, code of conduct and processes are working and up to date
- Work with IT to ensure proper use of all program technology
- Other duties as assigned

Supervisory Responsibility
This position has no employee supervisory responsibilities, but provides oversight and feedback to volunteers.
Work Environment
This job operates in a warehouse setting. This role is physical and routinely lifts boxes of food and clothing, moves toys, etc.
Physical Demands
Must be able to lift 50 pound boxes and bags.
Position Type and Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m. with some weekend and holiday hours as needed.
Travel
No travel is expected for this position
Required Education and Experience
1. High school diploma or equivalent plus two to three years’ previous experience.
2. Prior program/nonprofit/human service organization experience preferred
Employee must be able to take initiative and have a sense of urgency to accomplish
tasks. Have strong interpersonal skills to work with a dynamic group ranging from staff, volunteers, clients and board members. Must be solution orientated and work independently with little direction.
