Volunteer & Basic Needs Programs Coordinator
The Volunteer & Basic Needs Programs Coordinator is responsible for providing professional administrative and operational support to the Director of Volunteers and Basic Needs Programs, Program Manager of the Market and other designated members of the organization. Working in conjunction with the Director of Volunteers and Basic Needs Programs, this position will ensure that the facility is maintained, projects executed and completed in a timely manner and visitors and volunteers are educated on the organization’s mission and goals. This position must have strength in writing and interpersonal communications and attention to detail. Job duties include, but are not limited to the following:
Responsibilities:
- Assist with recruiting, training, scheduling and coordinating the use of volunteers to support BSH’s programs including The Market, The Resource Hub, Learning and Literacy Centers and other special programs.
- Maintain, update and process volunteer records. Track hours in volunteer systems.
- Identify volunteer recognition opportunities including birthdays, anniversaries and other notable events.
- Collaborate with program managers to create, update and distribute volunteer newsletter with important information.
- Help coordinate volunteer events including the annual Volunteer Appreciation Week.
- Attend outreach and recruitment fairs in Bluffton and neighboring areas.
- Keep website up to date on volunteer information, application and information sessions.
- Communicate with volunteers on a regular basis to keep them up to date on agency information and procedural changes, additions, etc.
- Remain up to date on all operating times and programs to be able to assist clients when receiving calls, walk-ins or inquiries about services.
- Understand organizational needs to anticipate activities such as postal food drive, holiday drive and the needs associated with such as copies, correspondence, meetings, etc.
- Understand the needs of the day to provide support to Basic Needs staff as necessary.
- Provide instruction to volunteers when required.
- Complete other duties as assigned.
Skills and Qualifications:
- Minimum two years related experience; nonprofit experience a plus.
- Proficiency with spreadsheets, databases, and word processing.
- Ability to operate and troubleshoot standard office equipment.
- Ability to multi-task and prioritize in a dynamic work environment.
- Strong ability to work as a team member with minimal supervision.
- Solid written and oral communication skills and excellent phone manner.
- Excellent time management skills, aptitude for proper task prioritization, and a results-oriented work process.
- Candidate must be able to take initiative and have a sense of urgency to accomplish tasks.
- Have strong interpersonal skills to work with a dynamic group ranging from staff, volunteers, clients and board members.
- Ability to handle sensitive matters with tact and discretion.
- Professional demeanor, integrity, tact, and good judgement.
- Dependable and punctual.
- Candidate must be willing to drive the Bluffton Self Help van when directed. No CDL required.
- Interest in and commitment to Bluffton Self Help’s mission.
Required Education and Experience
Associate’s or Bachelor’s Degree preferred.
High school diploma or equivalent plus two to three years’ previous related experience.
Bilingual (English/Spanish) candidate is a PLUS
Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates partially in a clerical, office setting and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This job also operates partially in a warehouse/retail setting.
Physical Demands
While much of this job is spent at the desk in front of a computer, this position also requires physical demands when working in The Market, Warehouse and with Special Programs. The candidate must be able to stand for long periods of time, bend, reach and be able to lift up to 40 pounds.
Position Type and Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:30 a.m. to 4:30 p.m. These are general hours and can vary weekly depending on schedules, meeting and weekend events. This role has occasional night and weekend hours. Several times a month, this role will be required to work either Monday or Wednesday until 6pm.
